Key Responsibilities
You will be the operational cornerstone for the VP, managing a wide scope of critical administrative functions:
- Proactively and strategically managing the VP’s complex calendar, optimizing their time and ensuring preparation for key meetings and strategic priorities.
- Organizing and executing all logistics for meetings, events, and management sessions, including agenda management and material distribution.
- Coordinating all domestic and international business travel, including detailed itineraries and expense tracking.
- Handling confidential correspondence, screening communications, and ensuring timely follow-up on information requests.
- Participating in budget planning and quarterly forecasting activities, providing crucial administrative support.
- Developing and maintaining efficient filing, reporting, and data retrieval systems.
- Recommending and implementing improvements to administrative processes to drive greater efficiency.
- Providing professional support for other special projects and mandates as required.
Qualifications
The ideal candidate will be a seasoned professional who embodies the following:
- A college diploma (DEC) in secretarial studies, administration, or equivalent relevant training.
- 3 to 5 years of proven experience in a similar executive support role.
- Advanced proficiency in MS Office Suite, particularly Word and PowerPoint.
- Exceptional organizational skills, autonomy, rigor, and an impeccable attention to detail.
- Strong communication skills with the ability to interact daily with internal stakeholders across North America, including unilingual English speakers.
- A resourceful team player with initiative, the ability to work under pressure, and a commitment to continuous improvement.
- Unwavering professionalism and a deep respect for confidentiality.
